BOOKING TERMS AND CONDITIONS
Introduction:
These Booking Terms and Conditions (‘Terms’) apply to all booking referred by Wild Mane Travel Limited (‘we’, ‘us’, ‘our’). We act solely as an agent for independent horse riding holiday operators (‘the Operator’). Your contract will be with the Operator, not with us. By making a booking through our referral, you agree to these Terms and Conditions and to the Operator’s own terms and conditions.
Our role:
Wild Mane Travel acts as an agent between you (the client) and the Operator (the company delivering your riding holiday). We do not operate, control, or deliver the riding holidays featured on our website. Our role is to facilitate your booking, communicate with the Operator on your behalf, and ensure all arrangements are handled professionally.
The Operator is solely responsible for the provision, safety, and quality of your holiday, including all accommodation, horses, guiding, and activities. When you book through Wild Mane, you enter into a contract directly with the Operator. Their terms and conditions will apply to your booking and will be provided to you at the time of confirmation. Where there is a conflict between these terms and the Operator’s, the Operator’s terms take precedence.
By confirming your booking with Wild Mane, you agree to these terms and conditions in full.
Making your booking:
To make a booking, each rider must complete a Rider Form. We will then confirm there is a space for you on the ride with the Operator and your space will only be confirmed once we have received your deposit. At that point, a binding contract will exist between you and the Operator. Some rides require the deposit and balance to be paid directly to the Operator and if this is the case, we will inform you at the time of booking.
Payment:
A deposit of 20% is required at the time of booking to secure your place. Some Operators may require a higher deposit, which will be advised at the time of booking. For bookings made within 90 days of departure, full payment is required.
Final balances are due 90 days prior to departure, unless otherwise specified. You will receive a reminder 7 days before the final balance is due. If payment is not received by or on the due date, we reserve the right to treat your booking as cancelled and apply the Operator’s cancellation terms.
Payments should be made in the currency stated on your invoice.
Pricing:
We reserve the right to correct any errors or omissions in pricing before your booking is confirmed. Once you have received your confirmation invoice, your price will not change unless the Operator imposes additional costs (for example, due to currency fluctuations or tax changes). Any such increases will be passed on in full.
Alterations by you:
If you wish to make any changes to your booking, please notify us in writing by email. While we will always do our best to accommodate changes, we cannot guarantee availability. An administrative fee of £20 per change may apply, in addition to any costs charged by the Operator.
Cancellation by you:
If you need to cancel your holiday, please notify us in writing as soon as possible. Cancellations take effect from the date we receive your written notice. Each Operator has their own cancellation policy, which will be provided to you at the time of booking.
Our standard cancellation policy (unless otherwise specified by the Operator) is as follows:
More than 90 days before departure: Deposit is refundable less a £200 cancellation fee per rider and any bank or transfer fees.
90 days or fewer before departure: 100% of the total cost is forfeited.
Depending on your reason for cancellation, you may be able to reclaim charges via your travel insurance policy. You must pay the applicable cancellation fees before seeking reimbursement from your insurer.
Changes or cancellations by the Operator:
On rare occasions, an Operator may need to amend or cancel a trip. We will inform you as soon as possible and pass on any alternative arrangements or refund options provided by the Operator. Minor changes do not entitle you to compensation.
If the Operator cancels the holiday or makes a significant change (for example, changing the dates), you may be offered an alternative or compensation inline with the Operator’s terms and conditions.
Operators retain the right to adjust itineraries for safety, weather, or logistical reasons.
We have no liability for any costs, expenses or losses arising from changes or cancellations by the Operator, including flights or other travel arrangements made independently.
Force majeure:
Neither we nor the Operator will be liable or required to provide refunds in the event of circumstances beyond reasonable control, often referred to as ‘force majeure’. These may include but are not limited to: adverse weather, natural disasters, fire, floods, pandemics, disease outbreaks, war, terrorism, political instability, strikes or government restrictions.
Health, safety and insurance:
Horse riding is a high-risk sport and accidents, injuries or falls can occur. By booking, you acknowledge and accept these risks. You are required to have comprehensive travel insurance that specifically covers horse riding activities, medical costs and repatriation. We highly recommend you also are covered for cancellations. Operators may ask you to provide proof of insurance. You must wear a suitable riding helmet or hat at all times when mounted. It is also your responsibility to ensure that you are physically fit to participate in the holiday. Neither we nor the Operator will be held liable for any costs incurred due to insufficient insurance coverage.
Travel requirements:
You are responsible for checking and complying with passport, visa, vaccination and health requirements for your chosen destination. We and the Operator accept no liability if you are unable to travel due to failing to meet these requirements.
Behaviour and conduct:
Riding holidays are social experiences shared with other guests. You are expected to behave in a respectful, kind and courteous manner towards fellow riders, staff, horses and local communities. The Operator reserves the right to refuse riding or other participation if your behaviour is disruptive, abusive, offensive, dangerous to yourself and others, malicious, aggressive or otherwise inappropriate. In such cases, no refund will be provided and you may be asked to leave the holiday at your own expense.
Accuracy of information:
We take care to ensure that all descriptions and details on our website are accurate. However, final arrangements, itineraries and facilities may vary slightly depending on the Operator and local conditions.
Liability:
We accept no liability for the acts, omissions or defaults of the Operator. We are not responsible for injuries, illnesses, losses, delays or expenses resulting from participation in a holiday. Your contract and any claims relating to the holiday lie directly with the Operator.
Data protection:
We are committed to protecting your privacy. Personal information provided to us during the booking process will be stored and processed in accordance with the UK General Data Protection Regulation (GDPR) and applicable data protection laws. We will only collect information necessary to facilitate your enquiry or booking, and where required, share it with the relevant Operator. We will never sell or misuse your personal data. Governing law:
These Terms are governed by the laws of the UK and any disputes will be subject to the exclusive jurisdiction of its courts.
